Photos & defects

Document defects – with photo, room and date

A scratch in the parquet, a stain on the wall, a broken roller shutter: whatever is photographed and assigned does not have to be reconstructed from memory later.

Why the assignment matters more than the photo itself

Almost everyone has photos from handover day – usually somewhere in the gallery of a work phone. The dispute is rarely about whether a picture exists, but about what it belongs to: which room, which item in the report, which appointment. That assignment is exactly what gets lost when photos and report go separate ways.

In the app the photo is taken inside the report. You shoot at the very point where you record the defect, so the image is tied to room, item and appointment. In the finished PDF it appears at exactly that place – visible and traceable for everyone involved.

Three steps to a documented defect

  1. 1

Select the item in the room

You work through the rooms in the template and record the condition – walls, floors, windows, fittings.

  2. 2

    Take the photo right there

The camera opens from within the report. The image is assigned to the item, not to the gallery.

  3. 3

    Describe the defect

A short comment complements the photo. Both end up together in the final PDF.

Your benefits

What photo documentation does for you

Deposit, follow-on tenant, repair order: whenever a question comes up, the evidence is available immediately.

Precise instead of approximate

Every photo is tied to a room and an item – the question “where was that again?” never comes up.

Reliable in a dispute

Condition, date, signatures and photos are in one document that everyone involved has received.

Straight to the tradesperson

The PDF with the photos goes to all recipients directly – repair orders can be issued without a detour.

No scattered photos

Nothing is left on private devices or in email attachments without context.

Frequently asked questions

Photos & defects – good to know

How many photos can I take per report?

There is no fixed limit for documenting a walk-through; what matters is the storage on the device. In practice a few targeted photos per defect are enough.

Are the photos embedded in the PDF?

Yes. The images appear at the item where they were taken – in the same document everyone involved receives.

Can I add a defect afterwards?

As long as the report has not been closed, yes. Once it is completed and signed the state is fixed – that is the whole point of the document.

Do the photos end up in my phone gallery as well?

The photo is taken from within the app and belongs to the report. That keeps the documentation together and leaves you in control of images showing personal data.
