A handover report contains names, addresses, bank details and photos from inside someone's home. That data does not belong on a private phone, nor on a server outside Europe.
What comes together in data protection terms at a handover
A handover report regularly contains personal data within the meaning of the GDPR: names and addresses of tenant and landlord, sometimes bank details for the deposit, plus photos from a private home. Anyone who sends such documents via WhatsApp, buffers them on a private device or stores them in a cloud outside the EU has a problem – no matter how good the report is in substance.
This application is built so that the data stays where it belongs. Hosting is in Germany; anyone with stricter requirements runs the solution as an on-premises installation entirely on their own servers. Who may see which report is controlled through users and access rights. Details of the processing are set out in our Privacy policy.

Where is my data stored?
In Germany. You can choose between operation in German data centres and an on-premises installation entirely on your own servers.
Is a data processing agreement available?
Yes. For operation as an online edition we conclude a data processing agreement under Art. 28 GDPR. With on-premises operation you process the data yourself anyway.
How long are reports retained?
In the Premium edition 90 days in the archive, in the Ultimate edition indefinitely on your servers. The delivered PDF stays with the parties involved.
Are we allowed to take photos inside the flat at all?
Documenting the condition within the tenancy is common practice and generally permitted – what matters is that the images are processed for that purpose only, not passed on, and stored securely. That is exactly what structured capture delivers.
